Description of the organization’s operations
THE WORLD'S LARGEST ORIENTEERING RELAY EVENT

We want to transparently communicate our sustainability policies, goals and actions by publishing our sustainability report. The report covers our entire sustainability program in terms of environmental sustainability, social sustainability and good governance.

Organization description
Behind Jukola's arrangements is the management team. The management team has been operating since 1980. Its founders were Kaukametsäläiset, Helsingin Sanomat and The Finnish Orienteering Federation. Since 2004, The Finnish Defence Forces have continued the work of Helsingin Sanomat. The units nominate their personal representatives to the management team. In 2018, the management team expanded so that each party has two (2) representatives.
A technical expert appointed by The Finnish Orienteering Federation acts as the secretary of the management team. The task of the technical expert is to comprehensively ensure that the arrangements are carried out in compliance with the competition rules, so that athletic fairness is realized.
The management team declares the competition to be applied for, examines the terrain and the competition center, as well as the organizer's prerequisites to perform the organizing task, and selects the organizer.

The organizing body for the 2024 event is a club association made up of Kauhavan Wisa and Lapuan Virkiä. The organization of the event is led by Jukka-Pekka Sorvisto, the chairman of the organizing committee, Ilpo Pajula, the competition director, and Pauli Mäkelä, the general secretary.

Scope and coverage of the sustainability program
The sustainability program and report cover our entire operation. The report covers our entire sustainability program in terms of environmental sustainability, social sustainability and good governance.

The competition center is located at Kauhava airport and the competition grounds are located in its surroundings.

Material impacts

This section describes the impacts of our operations that result in material benefit or harm to the environment or society, as well as the external impacts that cause us material financial risks or opportunities.

Materiality analysis

The management of the organization and the members of the sustainability team participated in the materiality assessment of impacts, risks and opportunities. The determination of material impacts, risks and opportunities was based on the assessment of sustainability experts and our own experience of the event, as well as which effects are important to consider when organizing an event. In identifying material impacts, risks and opportunities, the table AR 16 of ESRS standards ESRS 1 was used as help. The materiality assessment was partly carried out as interviews, and the conclusions are evaluated by the operational responsible persons of the organization.

Description 
The orienteering competition is held in the terrains close to the Kauhava airport. Special attention is paid to combating littering. The impact arises from the business of organizing the event.

Description 
During the organization of the event and during the event, greenhouse gas emissions are generated, especially from goods and passenger traffic. According to the visitor survey conducted by Sponsor Insight, 85% of the 2023 participants arrived at the event by car or other private motor vehicle. 3% of the participants came to the event from the event city or its vicinity, 29% from Uusimaa, 10% from abroad and the remaining 58% from all over Finland. The impact arises from the business of organizing the event.

Description 
49.6% of the energy used in the 2022 event was non-renewable energy. The electricity used by Lakia-Jukola comes from Jylhä Sähköosuuskunta, which has a small hydroelectric plant in Jylhänkoski in Kauhava. Most of the electricity comes from EPV Energia Oy, as a partner of which Jylhän Sähköosuuskunta is constantly developing domestic electricity production in a more carbon-neutral direction. The impact arises from the business of organizing the event.

Description 
With climate change, extreme weather conditions are becoming more common, which can adversely affect the organization of the event. High winds can topple trees and pose a safety hazard, and heavy rains can cause flooding. Drought can cause wildfire danger and heat waves can pose threats to health.

Description 
Our operations generate a lot of waste that cannot be further processed or recycled.
Waste in the 2023 event: organic waste 1800kg, cardboard 1800kg, plastic 300kg, frying fat 150kg, non-recycled construction waste 2400kg, non-recycled mixed waste 9900kg. A total of 16,350 kg. The impact arises from the business of organizing the event.

Description 
The event's water consumption is divided into the water used by the organizer and the water used by the participants. In the event, the total consumption of water is 660 cubic meters, of which about half is washing water in the shower area and half is domestic water used for preparing restaurant products, cleaning, and drinking water for the participants. Environment and climate: Ekokompassi certificate and management model

Responsible for implementing: Lakia-Jukola 2024

Impacts to promote:

Jukola has been awarded the Ekokompassi of the Finnish Association for Nature Conservation. The Ekokompassi's environmental promise has been renewed in 2021. The Ekokompassi audit will be carried out again in Lakia-Jukola.


Ekokompassi includes the following areas that are examined in the audit:

- The organization engages to comply with environmental legislation and regulations regarding its operations.

- The organization has a designated Ekokompassi contact person.

- The organization maps the current state of environmental management and identifies the most significant environmental impacts.

- The organization draws up an environmental promise, with which the organization commits to reducing environmental impacts in accordance with the principle of continuous improvement.

- The organization instructs the personnel to take environmental issues into account in their operations.

- The organization has a waste management plan and operates in accordance with waste regulations.

- The organization keeps records of its hazardous waste, keeps them separate from each other, stores them safely and delivers them for proper processing.

- The organization stores and catalogs the chemicals it uses in accordance with the obligations of the chemical legislation. The safety data sheets are available to the personnel and the personnel have been instructed in the safe use of chemicals.

- The organization draws up an environmental program that includes goals and measures to reduce environmental impacts. The environmental program is updated annually. The goals are set again at least every three years.

The goals are set for at least two of the sub-areas below and they must be based on the most significant environmental impacts. If there are several significant environmental impacts, the goals should be set accordingly for several areas.
In the events, goals are set for all areas based on significant environmental impacts: Waste, energy, procurement, material use, chemicals, noise, logistics and movement, communication, influencing, biodiversity and other areas.

- The organization also reports the results before the first audit where applicable. Management and personnel are aware of the progress of environmental work.

Actions

The organizers of Lakia-Jukola have planned together with VR the timetables of long-distance daily trains to meet the needs of the event's participants. The sale of train tickets has been announced and started in VR's online store in January 2024. The organizers encourage participants to consider a safer and a more ecological way to travel to the venue. It is hoped that the shuttle bus transports from the station to the competition center (4km) will encourage to use more public transport.

Temporary structures will be built at the venue, for which the organizer will make a notification to the building authority before starting the work.

The number of persons allowed in the space in question at the same time is confirmed in the construction or operation permit.

An environmental protection authority issues a written decision, which issues regulations to prevent environmental pollution caused by the activity.

The organizer is obliged to clean the littered area. Lakia-Jukola has a waste management and after-cleaning plan as well as general operating instructions in the competition area.

Waste management must be organized in such a way that it does not harm health. The number of waste containers and the emptying schedule are recorded in the waste management plan.

Decree of the Ministry of Social Affairs and Health on hygienic arrangements for large public events and waste management 405/2009, 1 §
At a public event, in which more than 500 people are expected to participate at the same time, there must be a sufficient number of toilets and handwashing places for the public. In the regulation of the Ministry of Social Affairs and Health on the hygienic arrangements of large public events and waste management 405/2009, disabled toilets and bathing houses are taken into account in the waste management plan's location map. The temporary toilets are equipped with hand disinfectants.

Outdoor Act 606/1973. 20 § and 25 §
The municipality has a campsite authority required by the Outdoor Activities Act. The establishment of a campsite must be notified in writing to the local campsite authority at least 3 months before the start of operations.

Aviation Act 864/2014
The safety committee deals with the drone issue together with the police. In previous years, the police have applied for the area of the competition center to be a no-fly zone. TV production drones and possibly communication drones are included in the permit. The public is informed about the ban on flying drones.

SCOPE
The operating principles of procurement are applied to all procurements as far as possible. This operating principle outlines the goals and scope of our procurement.

LAWS AND REGULATIONS
Lakia-Jukola's organizational procurement must comply with all applicable laws and regulations as well as appropriate social practices. We do not accept corruption or bribery. We require the same things from our procurement partners.

GENERAL PRINCIPLES OF PROCUREMENT
The goal of our purchases is to ensure high customer satisfaction for our products/services and to achieve our own strategic operational goals. In procurement, we take into account the relevant aspects of our sustainability. We prefer regional actors in procurement whenever possible.
We carry out sustainability supplier surveys for our significant partners.

PROCUREMENT SUSTAINABILITY
Environmental sustainability
In our purchases, we take into account the life-cycle effects and costs of products and services, as well as aspects that promote energy efficiency. We want our procurement partners to invest in environmental sustainability in the development of their own operations.

Social sustainability
We treat our suppliers equally. We emphasize responsible, honest and open supplier relations for the development of joint processes.
We are improving our capabilities to better identify social risks in our supply chain.

Safety
Safety in our own operations is important. In procurement, we require the safety of both products and services. Safety is taken into account both in setting and monitoring suppliers' criteria and in evaluating the fulfillment of product and service requirements.

COOPERATION AND DEVELOPING TOGETHER
We communicate openly and transparently about our activities to our partners and cooperate confidentially.

Actions

The main restaurant's menu and ingredient and product information related to the dishes are offered in three languages: Finnish, Swedish and English. In the product selection, we consider special diets, such as dairy-free, gluten-free, vegetarian and vegan diets. Hygiene, allergens, occupational safety and waste handling are taken into account in the orientation of restaurant services. External service providers are committed to acting in accordance with Jukola's values.




Lakia-Jukola's environmental promise

Impacts to promote:

The goal of Jukola Relay's environmental operating principle is to improve the environmental friendliness of the event and to increase the environmental awareness of the event organization and participants.
Improving environmental friendliness starts already in the planning phase and its sub-goals can be e.g.
1) consideration of environmental issues also in subcontracted products and services
2) reducing the amount of waste and developing sorting and
3) preferring shared transportation and reducing separate transportation.
Jukola Relay wants to be profiled as an event that is environmentally aware and promotes a sustainable sports culture.

The environmental guidelines for orienteering competitions published by The Finnish Orienteering Federation help competition organizers. The environmental guidelines for orienteering competitions cover e.g. restaurant, shops, washing place and results service. A report will be made for the event in order to evaluate the nature effects on the competition terrain. The latest addition to the environmental work of Jukola Relays is the Ekokompassi event certificate. With the certificate, Jukola can take better care of its own event environment and secure the possibility of organizing events even years from now.



Safe operating environment

Impacts to promote:

Safe operating environment in the event is a key part of Lakia-Jukola's production of the entire event. When planning a safe operating environment, safety-related factors are taken into account both during the construction of the event and during the competitions. Safety is taken care of for all participants (competitors, officials, the public) as well as persons from external stakeholders.

A separate safety and rescue plan has been drawn up for the event. The purpose of the plan is to help the race organizers and the authorities with questions related to security and to act as a guide for the security organization during the games.
The plan includes public order and security, arrangements for medical and first aid operations, and rescue operations in the competition area during the games.

When planning security, valid legislation is taken into account and cooperation with various authorities is carried out. The management of the event has used consultation from professionals in various security positions, and especially in the official inspection held in the event area in the fall of 2023, good advice was received from the authorities.

PRE-CHECK
Before the start of the event, an inspection of the competition area according to the safety plan is carried out together with various authorities and competition organizers. The inspection will be convened by the safety manager, and the inspection will take place on Thursday, June 13, 2024.

The general secretary, competition manager, safety manager and field manager from the Lakia-Jukola organization are called over. In addition, a representative of the police, a building inspector, a representative of the fire department, a health inspector and an environmental authority are called over.

The inspection pays attention to the following:
Safety plan, temporary structures, grandstand facilities, performance venues, fire extinguishers, electrical safety, traffic arrangements and rescue and police vehicle routes, general safety in the competition area and hygienic facilities.

1    INTRODUCTION
The ethical guidelines define the operating principles of the organization together with our values. They are the basis for all our activities. They guide us in how we deal with customers, colleagues, business partners and other stakeholders. Our ethical culture is developed and created together by all actors in our organization. We expect all of us to follow the principles given in the ethical guidelines.

2    SCOPE
These ethical guidelines apply to the entire operation of our company. We expect that our stakeholders are aware of our sustainability goals and guidelines and follow them.

3    ETHICAL PRINCIPLES
3.1    Legislation and operating principles
We are aware of the legislation regarding products, services and business. We comply with current legislation. Our operating principles define in more detail how we operate, for example, in procurement and personnel matters. Our personnel and stakeholders are aware of our operating principles.

3.2    Confidentiality
We handle confidential information that comes to our attention carefully and in accordance with the instructions. We use confidential information only for the purpose.

3.3    Professional and expert operation
We demonstrate professionalism and good behavior in all our activities. We know how to resolve conflict situations constructively and with respect for others.

3.4    Safety and health
Safety issues are priority number 1. Everyone has the right to do their job safely. Safety covers both physical and psychological safety. Each employee is responsible for developing the safety of their own work environment.
The volunteers will be given a mobile application, which must be used to report all accidents or near misses that have occurred. Notifications are forwarded to the person in charge of each function and event management for possible follow-up measures.

3.5    Environmental responsibility
We respect the environment and take care of it. We want to develop our operations at all levels in such a way that our environmental impact is as small as possible. We update our environmental goals and programs annually and communicate them to our personnel and stakeholders.

3.6    Respectful and harassment-free work environment
We treat our fellow human beings with respect. We accept different people regardless of their ethnicity, gender, age, nationality, sexuality, disability or religious background. Every employee must treat his colleagues with respect and fairness. We do not tolerate any physical, verbal, sexual or psychological harassment or bullying.

3.7    Conflicts of interest
In our operations, we make decisions in such a way that potential conflicts of interest do not guide our decisions. In operations, the company's interest comes before one's own interest. Such situations can include ownership or family relationships, for example in acquisitions and personnel recruitment. When making decisions, we clearly bring potential conflicts of interest to the attention of our supervisor before decisions are made.

3.8    Prevention of bribery and corruption
We do not allow bribery or corruption, and we do not give or accept gifts or favors that could influence decision-making. We are responsible for not participating in decision-making in situations where pursuing our own interests is possible. For anti-bribery and corruption activities, there is a whistleblowing reporting channel, where you can make a report anonymously if you suspect that an organizer or a partner of Lakia-Jukola is acting illegally, or if you have noticed another grievance.

3.9    Information on supply chain responsibility
We want to be aware of the ethical issues of our partners and stakeholders. We regularly send electronic follow-up surveys that our partners must answer. This way we are aware and able to develop our ethical activities together.

Information security principles

INTRODUCTION
The aim of information security activities is to support our operations, protect our reputation and meet the security requirements set by the law, customers, participants and other partners.
Information security means ensuring the confidentiality, integrity and usability of all data. Our management team has approved this operating principle and monitors its implementation.
(In the case of external parties such as suppliers, subcontractors and service providers, the requirements of this operating principle are included in the applicable parts of the procurement contracts.)
The practical implementation of information security requires that employees, administrators and partners understand why information security is important. Understanding the risks of practical work and managing them requires employees and administrators to follow detailed instructions and to receive training.
Neglecting information security can cause serious damage to reputation and customer relations. Non-compliance with the operating principle or activities contrary to requirements are dealt with at a low threshold.

DEFINITIONS OF INFORMATION SECURITY AND DATA PROTECTION
Information security consists of responsibilities and practices related to information security and protection, which aim to ensure the security of information, information systems and services in such a way that their confidentiality, integrity and availability can be guaranteed and demonstrated to have been implemented.
- Confidentiality: Information is only available to those entitled to it.
- Integrity: The information is correct and complete, and has not changed as a result of intentional or unintentional technical or human activity.
- Availability: Information is always available when needed.
- Non-repudiation: The changes made to the information at different stages of its processing can be verified if necessary.
Data protection refers to an individual's right to the protection of personal data. The goal of data protection work is to meet the requirements of legislation, to guarantee appropriateness and purpose-relatedness in the processing of personal data.

DATA PROTECTION RESPONSIBILITIES AND ORGANIZATION
All persons working at Lakia-Jukola are responsible for information security issues as part of their other duties in accordance with their job description and areas of responsibility. This means that personal responsibility for taking care of information security cannot be transferred to others or outsourced.
Responsibilities for sata protection in accordance with the requirements of the EU Data Protection Regulation (GDPR) are as follows:
- Controller of the register of Lakia-Jukola's volunteer workers: Lakia-Jukola 2024 (Lapuan Virkiä 0180699-7)
- Controller of the register of Jukola Relay's account: Suomen suunnistusliitto ry (The Finnish Orienteering Federation) (0117007-9)

Information security management
- Lakia-Jukola's working committee develops information security skills for staff and trustees and assists in information security issues.
- The management approves the operating principles of information security, monitors its implementation and presents the resources for the implementation of information security.

The staff
All employees must follow the operating principles and instructions of information security in their work, because they are part of the staff's duties and customer service. The personnel must inform their supervisor about the information security problems, violations and risks they observe.

Partners and suppliers
The information security requirements of this operating principle are attached to the contracts concerning external service providers as applicable. The responsibility of these parties is to comply with the contractual information security requirements as agreed between the various parties.
Information security audits and inspections can be performed for suppliers to ensure the implementation of information security.

Risk assessment
Information security risks are assessed in accordance with the principles of risk management at least every six months as part of the management team's activities, as well as in the definition phase of new systems and in connection with significant changes.
Information security risks are assessed and analyzed based on their business effects. Based on the risk analysis, management methods and risk prioritization are decided upon, with the help of which the risks are brought to an acceptable level.

ACTION IN INFORMATION SECURITY AND DATA PROTECTION DEVIATIONS
Information security incidents are reported, processed and registered in accordance with the operating instructions.
If necessary, information security violations are reported to the supervisory authority in accordance with the applicable national legislation and guidelines.

NOTIFICATION OBLIGATION
Every employee has the right and duty to inform the manager of the information security problems, violations and risks they have observed.
Failure to comply with the policy may result in sanctions, such as a notice, warning or, in extreme cases, termination of the employment relationship, if it is a deliberate action.

Transparent operations are part of our values, and the values ​​that guide our operations are also realized in our communication.

IDENTIFYING STAKEHOLDERS AND THEIR NEEDS
We have identified the most important stakeholder groups in terms of communication and the actors belonging to different stakeholder groups and their needs. We have designed our communication to suit the needs of different stakeholders. We find out whether our communication is necessary and receive feedback, on the basis of which we develop our communication.

WHAT WE COMMUNICATE ABOUT
We communicate to our internal and external stakeholders about current issues, such as operational requirements, instructions and changes, as well as the development trends of sustainability and the results of our sustainability work. In addition, we encourage our stakeholders to take sustainable actions using various means of communication.

INTERNAL COMMUNICATIONS
Our sustainability report contains a detailed record of the essentials of our sustainability work, policies, goals and their measurement.
We communicate different issues and entities of information in several different situations.

For trustees
We inform the registered trustees in newsletters, orientation sessions and instructions about the measures we are committed to.

To the heads of the committee
We include the promises made and targets set in the sustainability report in the planning work. Meetings of the organizing committee, meetings and other instructions.

EXTERNAL COMMUNICATION
Communication to competitors
We inform the registered competitors in newsletters about different sustainable alternatives. We are active on social media and on our website.

RESPONSIBLE ENTITIES AND CHANGES
The management of the event organizer is responsible for internal and external sustainability communication and related changes.

Greenhouse gas emissions

Scope 1 emissions refer to the direct emissions resulting from an organization's operations.

Scope 2 emissions refer to emissions caused by the energy purchased or acquired by the organization. Scope 2 emissions can be calculated in two ways: market-based and location-based. The market-based calculation method reveals the actual emissions from the energy procured by the organization, using emission factors provided by the energy suppliers. The location-based calculation method reflects the average emissions in the geographical areas where the energy is consumed, using general, regional, or national emission factors. Therefore, the emission figures obtained from market-based and location-based calculations usually differ from each other. When totaling scope 2 emissions, the emission figures obtained from the market-based calculation method are primarily used. If the market-based method cannot be applied, figures from the location-based method are used.

Scope 3 emissions refer to the organization’s indirect emissions in its upstream and downstream value chain.

Calculation methodology



The emissions of the carbon-wise Jukola 2023 have been calculated by the GHG Protocol Corporate Accounting and Reporting standard and Corporate Value Chain Accounting and Reporting standard. The GHG protocol is the internationally most widely used reference framework for calculating carbon emissions.
The calculation can be done at the company level or for individual products or services. The GHG protocol is recommended due to the breadth of its criteria and international recognition.

In addition to carbon dioxide (CO2), the calculation takes into account six other greenhouse gases: methane (CH4), nitrous oxide (N2O), fluorocarbon compounds (HFCt), perfluorinated compounds (PFCt), sulfur hexafluoride (SF6) and nitrogen trifluoride (NF₃). The results of the calculation are reported in carbon dioxide equivalents (CO2e), which includes the different climate-warming effects of different greenhouse gases.
